Get Ready to Move Your Data to SharePoint

Moving your data to your new SharePoint document center is a lot like moving to a new house. As your professional data movers, it’s important that we work together to find where your data lives and ensure a smooth transition to your new digital space. There are a few key steps you can take as you organize your company data for moving day.

Step 1: Imagine the Destination

A new house will look quite different than the one you’re moving from. The cabinets won’t be in the same order, and you might have spaces you don’t have in your current layout. When preparing your data for the move, label your folders as you would moving boxes, so your moving company (that’s us!) knows where to put it. Using the document center outline, you can begin moving files to folders with the right names, so nothing gets lost or put in the wrong “room.”

Step 2: Delegate the Data

Moving is a big challenge when you do it by yourself. Share the workload to make sure everything is accounted for by the right people. When you’re reviewing your data, choose specific people to sort the data most relevant to their role. Ask your team to clean out every nook and cranny to make sure nothing gets missed or ends up in the wrong room.

Step 3: Check for Duplicates

When was the last time you took inventory of your utensil drawer in your kitchen? Remember that gadget you stuffed in the back of the cabinet and swore you’d use? You may find duplicate, outdated, and old document versions in your folders. As you clean out your data, keep what you need and discard the rest so you’re not hauling it to the new place.

Step 4: Conquer the Mystery Box

Everyone’s got one when they move. The dreaded mystery box, filled with a pile of items that just don’t fit in one of your labeled boxes. It’s usually the last box in the move and the last box unpacked. You can’t even tell the movers which room it should be in. To keep things simple, create a folder called Migration Folder and move documents there to unpack and sort later.

Step 5: Safeguard Sensitive Information

Chances are your home has sensitive files and important documents that you want to protect during a move. Select one person with the right credentials to handle sensitive files, such as HR or financial records. Work with your ETC migration technician to plan for the control and move of sensitive company data.

Step 6: Start Fresh

You wouldn’t want to pack new pillows or curtains to decorate your new house. You want to use them right away! As you create new documents during the transition process, avoid using the old folder structure or saving business documents to locations like your desktop or personal files.
